Our Monthly Bookkeeping Process

From onboarding to monthly reviews, here’s how we keep your finances running smoothly, month after month.

  • Whether you’ve been managing your own bookkeeping or working with a previous bookkeeper, we know that trusting someone with your finances can feel overwhelming. That’s why we have a seamless, stress-free onboarding process. Once your engagement letter is signed, we’ll:

    ✦ Gather the necessary information to set up your account

    ✦ Provide access to your personal client portal

    ✦ Ensure all initial questions are answered so you feel confident moving forward

  • You’ll upload receipts and vendor bills to Hubdoc (our receipt management software), and we’ll take care of organizing, posting, and reconciling them.

  • Once you’re fully onboarded, we’ll hit the ground running! Each period, you’ll receive an action list via email, which may include:

    ✦ Requests for missing receipts, invoices, or statements

    ✦ Questions about specific transactions

    ✦ Any additional details we need to complete your bookkeeping accurately

  • For clients who opt into payroll services, we’ll ensure you and/or your employees are paid on time, every time—whether that’s bi-weekly, semi-monthly, or monthly. We’ll also handle payroll tax remittances to the CRA on your behalf.

  • For clients who need GST/HST/PST filings or Workers' Compensation/WorkSafe reporting, we’ll manage your submissions and ensure payments are scheduled properly, based on your filing frequency (monthly, quarterly, or annually).

  • At the end of each month, we carefully review all transactions, reconcile your accounts, and ensure accuracy so you always have clean, up-to-date books.

  • Once your books are reconciled, we’ll generate your financial reports based on your package:

    ✦ Grow & Bloom: Full monthly financial reports (Balance Sheet, P&L, Cash Flow, A/R Aging, A/P Aging)

    ✦ Blossom: Monthly Income Statement

    We’ll also flag any key financial insights and bring attention to anything that may require review.

  • We’ll meet with you quarterly (included in Grow & Bloom packages) to:

    ✦ Review your financial reports

    ✦ Answer any bookkeeping-related questions

    ✦ Provide insights and recommendations to help you make informed business decisions

Frequently Asked Questions

  • We exclusively use QuickBooks Online (QBO) for all our clients’ bookkeeping and Hubdoc for seamless receipt management.

    Not on QBO yet? No worries! We’ll set you up or migrate your records over—free of charge when you sign up for one of our monthly packages (a $450+ value).

  • For clients in our Grow or Bloom packages:For clients in our Grow package, we work on your books weekly. For Bloom package clients, we work on your books bi-weekly. With all documents and information provided, we aim to complete your bookkeeping (including sales tax returns) by the 15th of each month. Reports will be sent to you between the 15th and 25th, and we can meet to review them if needed.

    For Blossom package clients:We manage your books on a monthly basis. With everything in place, bookkeeping is typically done by the 20th of each month, and monthly income statements are shared between the 15th and 25th of the following month.

  • Unlimited support is part of the package! We’re here to answer any questions, whenever they arise—no surprise fees for extra hours. Reach out by email, and we’ll be glad to help.

  • Absolutely! Whether you’re a few months or a few years behind, we’ve got you covered. The time needed for catch-up depends on how far back we need to go and the condition of any existing records. Most catch-up work takes anywhere from one week to a couple of months.

  • We want you to feel happy and confident in working with us. You can cancel any time with a 30-day notice, so we can wrap up neatly and hand back a clean set of books. Please note that we don’t offer refunds.

  • Yes! Payroll is available as an add-on for all packages. We’ll run payroll on your schedule (bi-weekly, semi-monthly, or monthly) through QBO Payroll with direct deposit, and we’ll also remit payroll source deductions to CRA on your behalf. Reliable and hassle-free!

  • Yes! Accounts receivable tracking is included in our Bloom and Grow packages. In the Grow package, we also manage invoicing and payment collections as needed.

  • With our Grow and Bloom packages, we handle your sales and payroll taxes, but we do not file income taxes (corporate or personal). That said, we’ll package up all year-end documents to keep your accountant’s job easy.
